Privacy notice
Only what the packet needs.

Information we receive
HOA Prep may receive contractor and homeowner contact information, the property address, project specifications, quotes, surveys or site plans, drawings, product information, photographs, association forms and guidelines, correspondence, and payment status. Stripe processes payment-card information; HOA Prep does not ask customers to include card numbers in project intake.
How we use it
We use project information to confirm scope and completeness, prepare and deliver the requested packet, communicate about missing items and revisions, prevent misuse, keep business records, and improve the administrative workflow. We do not sell project or contact information.
Outreach measurement
Contractor outreach may use an opaque HOA Prep link so we can measure a landing request and deliberate actions such as opening the sample packet or starting intake. A landing request may be generated by an email security scanner and is treated only as directional evidence. Our application event does not store the recipient email, raw IP address, full browser identifier, or email contents. We do not use open pixels.
Service providers
We use payment, hosting, storage, communications, and document-processing providers to operate the service. They receive only the information needed for their function. Payment information is handled under Stripe’s own privacy practices.
Retention and protection
We limit access to project materials and retain them only as long as reasonably needed to prepare, deliver, support, and document the service, or to meet legitimate legal and business-record obligations. No internet transmission or storage method can be guaranteed completely secure. Do not send Social Security numbers, account passwords, payment-card details, government IDs, medical records, or unrelated personal files.
Your requests
To ask what project information we hold, correct it, or request deletion when it is no longer required, email hello@hoaprep.com. We may need to verify the requester’s relationship to the project before acting.
